Tattoo Studio Management Software for Multi-Artist Shops

OpenInk Studio is tattoo studio management software for shops where several artists work under one name. Requests from the studio's form land in one inbox. The owner or a manager hands each one to an artist, who takes it from there: replies, booking link, deposit, balance. The bookings stay on the studio calendar and the money goes to the studio's Stripe account.

Every inquiry has one artist on it

Clients open the studio's page, fill in its form and attach up to six reference images. The owner and managers see each new request and assign it to an artist. From then on it belongs to that artist, who replies, sends design drafts, offers times and collects the deposit. If someone is off sick or booked out, unassign the request or give it to someone else. Requests left unanswered for more than 12 hours are flagged.

Owner, manager, artist

The owner invites each person with a link and gives them a role. Owners and managers work in the studio view, where every inquiry, booking and the calendar sit, and they are the ones who change settings. Artists don't need that view. Theirs shows the inquiries handed to them and the sessions they tattoo, each marked with the studio's name, next to any private clients they take on their own. Studio Pro includes three seats and goes up to ten.

The whole studio on one calendar

Paid bookings land on the calendar without anyone copying them over. Look at everyone at once or filter to one artist, by week, day, month or as a list. Walk-ins and regulars go in as manual entries, which hold the slot just like an online booking.

  • Each artist sets the hours they take bookings at the studio.
  • Holidays, guest spots and conventions go in as time off.
  • Clients with an email on file get the reminder the day before, manual entries included.
  • Sessions an artist books privately show on the studio calendar too, so the studio knows when they're busy.

Deposits, balances and refunds

Each booking link carries the times you offer, the deposit and your cancellation rules, and the client sees all of it before paying by card. Studio bookings are paid into the studio's connected Stripe account. When the work is done, collect the balance through the same link or record that it was paid in the shop. If a booking is cancelled, the refund follows the rules the client agreed to.

Consent forms, aftercare and reviews

Switch the consent form on and it goes to the client 48 hours before the session. They read it and tick to agree on their phone, and the Today page lists anyone who hasn't signed. An hour after the session ends, your aftercare instructions arrive by email. Two days later another email asks for a review, and you pick which reviews appear on the studio's page.

Income per month and per artist

The Income page counts money by the day it arrived: deposits, balances, payments taken in person and refunds. Beside that you see what is still to collect and what is booked ahead. Set the percentage the studio keeps from each artist and the monthly settlement works out what each one is owed. Payments and settlements export as CSV. The full report comes with Artist Pro and Studio Pro; Free shows what came in this month.

What it doesn't cover

There is no point of sale, ink and needle stock, payroll or SMS. Reminders go by email. Client details stay with each inquiry and booking rather than in a separate customer database. If the shop relies on one of those, keep your current tool for that job and run inquiries and bookings here.
